For all our cycling holiday tours you need to send an email to ian@pyreneesmultisport.com or use our online contact form (below) to check availability  and we will pencil you in with a provisional booking which we hold for up to 7 days.  If you are booking as a group then please include all names and email addresses in your initial inquiry .

For Self Guided cycling holidays here at Pyrenees Multisport, please send an email to ian@pyreneesmultisport.com  or use our online contact form (below) to request your preferred dates. We shall check the availability and send a confirmation of the provisional booking which we will pencil in for up to 7 days.

The provisional booking will consist of the full details for your holiday, the confirmation invoice and a  link to the online credit card payment facility for the deposit of €300 per person to secure your booking.  This can also be paid by electronic bank transfer into the following client account (please use your surname & confirmation number for the payment reference)

An updated invoice will be sent as confirmation that your deposit has been received and your holiday is now guaranteed.  Single room requests will be added to your final invoice once availability is confirmed.  Bike hire is paid separately on arrival at the start of the holiday.  You can now go ahead and arrange your travel and book your flights as per the transfer information sent in the details of your holiday.

When you have booked your flights please send through your travel / flight details to us by email.

You now need to organise your compulsory insurance cover (to include cycle touring, medical costs and repatriation) and send this through to us by email so we can update your holiday folder.  It is always advisable to arrange this insurance at the time of booking as this covers you in case of cancellation due to injury during your training or other unforeseen circumstances.

The balance of the booking is to be paid 12 weeks before your holiday. We will remind you of this by sending you an updated invoice and a new link to the online credit card payment facility for the final balance.

If you book less than 12 weeks before your arrival date then full payment is required at the time of booking and the link to the online credit card payment facility for the full balance will be sent to you.

A few weeks before your arrival we will send out an invitation to join the tour WhatsApp group.  This is purely voluntary but we do use this facility on the tour for emergency contact and group notifications.  It is also a great way to get to know the other members of the tour and to share some photos during your adventure.

TERMS & CONDITIONS

The following terms & conditions are valid for all bookings and form the basis of your contract with Pyrenees Multisport.  They set out our respective rights and obligations and you should therefore read them carefully before booking your holiday with us.

1. Deposit & Booking Confirmation

Your booking is subject to the following conditions: each client will be responsible for all payments due in respect of the purchased holiday. The booking must be submitted by email with a deposit of €300 per person (unless booking 12 weeks or less before departure, in which case full payment must be made at the time of booking). In addition, it is essential you take out appropriate insurance cover at the time of the booking. You must make your own insurance arrangements and you are referred to clause 2 below. Upon receipt of your booking and all appropriate deposits, we will confirm your booking by issuing an email of confirmation and a final invoice. At this point the binding contract between us comes into existence. The confirmation email will detail any special requirements (see clause 12) that we have agreed to provide and forms part of your Holiday Contract. It is important that you check the confirmation email and invoice upon receipt and raise any queries immediately. Queries that are not immediately raised may not be capable of correction or, where they are, may incur an additional administration fee. It is your responsibility to ensure that all details contained in the confirmation email and invoice are correct.

2. Holiday / Travel Insurance Policies

Due to this being an activity holiday, you must be adequately insured for your holiday. It is a condition of your contract with us that you are fully insured in respect of the risks set out below. It shall be your responsibility to ensure that you are properly insured in accordance with this clause. In addition, we strongly advise that you take out insurance to cover ALL relevant costs should you need to cancel within the 60 day period (see clause 5). The risks that appear below are set out for your consideration only and are not intended to be exhaustive. You must ensure that your personal belongings (including bike) are insured up to the appropriate value as Pyrenees Multisport can accept no responsibility for loss or damage to your personal belongings. You are strongly advised to seek advice from your insurance broker and/or your insurance company for the purpose of this clause:

a. medical treatment and repatriation;
b. cancellation and/or curtailment of holiday;
c. loss or theft of personal effects;
d. hospital benefits;
e. personal accident;
f. personal liability;
g. travel delay
h. emergency rescue
i. legal expenses.

You must provide us with your insurance details before the start of your holiday. If you do not have adequate insurance you will not be able to partake in the holiday. We reserve the right to cancel your holiday without refund if you fail to provide us with any information required regarding your insurance. 
You agree to indemnify us from any claim whatsoever arising from your failure to comply with this clause.

3. Payment

We require a payment of €300 per person per holiday at the time of your booking as a non refundable deposit prior to the confirmation of your holiday. For bookings made 12 weeks or less before your holiday, full payment is required. The balance of the holiday must be received by us not less than 12 weeks prior to departure. We will send a conformation email and invoice at the time of the booking being confirmed and then a payment reminder will be emailed 14 weeks prior to the trip, when the final balance is due. If payment is not received in full and on time, we reserve the right to treat your booking as cancelled by you. In this case the cancellation charges set out in clause 5 below will be payable.

4. Holiday price and surcharges

We guarantee that the price of your holiday will not be subject to alteration or surcharges once a booking has been confirmed. All prices are fixed in Euros €.

5. Cancellation of your holiday booking by you

If you or any member of your group wish to cancel your holiday after the confirmation of your holiday has been issued, you must immediately notify us in writing, email or recorded letter to;-

Cancellation charges will then be payable as set out below to compensate us for the cost of making your booking, our obligations to hotels and the risk that we may be unable to re-sell your cancelled holiday. The charges are calculated from the date that written notice of the cancellation is received by us. 

More than 60 days before departure: €300 deposit held by Pyrenees Multisport
31 – 60 days before departure: 50% of total price paid or payable, will be held by Pyrenees Multisport
30 days or less before departure: 100% of total price paid or payable will be held by Pyrenees Multisport

The person who agreed to our Terms and Conditions as part of their booking form, is liable to pay any cancellation charge payable under this clause.  If your cancellation charges are covered by your insurance, we will provide you with the necessary paperwork to support your claim.

6. Cancellation by us

Every effort will be made to operate all holidays as advertised but Pyrenees Multisport must  reserve the right, at its discretion, to modify or cancel any holiday at any time up to 6 weeks before departure unless you have failed to make payment in full and on time or we are forced to do so as a result of circumstances beyond our control.  In the case of any material modification or of cancellation, Pyrenees Multisport  will, if possible, offer you the choice of purchasing an alternative holiday of a comparable standard if available (if the holiday is less expensive than the original one we will refund the difference, if it is more expensive you will have to pay the difference)  or, if these are not acceptable, a full refund of the monies paid. This does not include refunds for flights or other expenses separate from the holiday package incurred by the client.

Pyrenees Multisport reserves the right to cancel your holiday where an insufficient number of people book your chosen holiday and we notify you that we are cancelling for this reason not less than 8 weeks before departure. In this instance we will offer you the choice of purchasing an alternative holiday of a comparable standard if available (if the holiday is less expensive than the original one we will refund the difference, if it is more expensive you will have to pay the difference)  or, if these are not acceptable, a full refund of the monies paid. This does not include refunds for flights or other expenses separate from the holiday package incurred by the client.

Cycling Helmets: We reserve the right to curtail your holiday if you refuse to wear your cycling helmet whilst on your bike. On booking and paying your deposit, you are agreeing to our condition to wear a helmet at all times (for your own protection in the case of an accident), whilst on your bike. 

Non Payment: We reserve the right to cancel your booking 10 weeks before your holiday start date if we have not received the final balance payable.  We will send you a reminder of balance payable at 14 weeks, for payment at 12 weeks before your holiday. We will then send a second reminder of overdue monies.  If you do not contact us to arrange an individual payment plan then at 10 weeks before your holiday we have the right to cancel your booking.  We cannot be responsible for any costs or expenses you may have as a result of this cancellation.

7. Alterations to your holiday or itinerary

Occasions arise when we cannot follow our advertised itineraries and/or cannot maintain our advertised schedules. Our itineraries and schedules are put forward as a statement of intention only, not as representatives or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruption of planned itineraries amounting to “force majeure” as described in clause 15 below, these costs will be borne by the client.

We reserve the right in the situation where accommodation is not sufficient for the whole of the group and it is necessary to split the group across accommodations.  Pyrenees Multisport will provide transfers to the alternative accommodation with no disruption to the client.

8. Pyrenees Multisport Liability Insurance

9. Complaints

Should you have a complaint while on holiday, you should notify the guide or owner of Pyrenees Multisport at that time, to enable it to be put right immediately. If the matter is not resolved, the complaint should be made in writing within 14 days of the end of your holiday with us and addressed to our office.

10. Flights

We do not arrange the flight element of your holiday. It is your responsibility to make these arrangements and to ensure that your flights coincide with your required dates of arrival and departure. We do not accept any liability for any curtailment of your holiday by reason of any delay arising from your flight arrangements. We regret that we cannot offer any assistance in the event of delay of your outward or homeward flight.

11. Transfers

Airport Transfers are included only at the specified times (in your confirmation email). If you cannot get to the airport for that time or your flight is delayed by more than one hour, then you are responsible for all costs incurred before you regroup with the group.

12. Special requests

If you have any special request, please clearly note it in your booking request. Only requests relating to services or facilities provided directly by Pyrenees Multisport can be guaranteed (provided the request has been confirmed in writing). Unless we have agreed in writing to provide such a service or facility, failure to meet any special request will not be breach of contract on our part. We will pass on requests to suppliers (e.g hotels & restaurants) or other service providers but we cannot guarantee any request will be met. Failure to meet any special request will not be a breach of contract on our part.

13. Passports and Visas

As a visitor to France, Spain or Italy you are required to hold a current passport. Should you be travelling from outside the EU countries, you should check whether you may also require a visa. We regret we cannot accept any liability if you are refused entry onto any flight or into any country due to failure on your part to carry the correct passport, visa or other documents required by any airline or authority. It is your responsibility to ensure that you have the correct travel documents necessary for your holiday.

14. Tour Participant & Your Obligations

You undertake to consult with your doctor in connection with any existing or previous condition which may impact upon your ability to take part in the activities arranged as part of your holiday. Any such condition should be disclosed to us at the time of booking and to your insurance company. By signing the booking form you undertake and confirm to us that your mental and physical condition is sufficient and fit for the purpose of participating in the holiday you have booked. We reserve the right to require the production of a medical certificate at any time prior to the commencement of your holiday.

When you book a holiday with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be made at the time to ourselves or the third party concerned. If you fail to do so, you must indemnify us against any claims (including legal costs) subsequently made against us as a result of your actions. We expect all clients to have consideration for other people. If in our reasonable opinion or in the reasonable opinion of any other person in authority you or any of your party behave in such a way as to cause or to be likely to cause distress, danger or annoyance to any third party (including other clients) or damage to property, we reserve the right to terminate the holiday of the person concerned without notice. In this situation, our responsibilities towards that person (including any return transport arrangements) will immediately cease and we will not be responsible for meeting any costs or expenses they may incur as a result. We will not make any refunds or pay any compensation.

15. Force Majeure

We cannot accept liability or pay any compensation where the performance of our contractual obligations is prevented or affected by “force majeure.” In these booking conditions “force majeure” means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riots, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, pandemics, adverse weather conditions, fire and all similar events outside our control.
