Deposit & booking confirmation

As soon as you have made a booking we will issue a confirmation invoice (Facture) and an email for your deposit of €200 per person. Receipt of the deposit will act as confirmation of your booking. Payment can be made by Electronic Transfer [details on Invoice] or via credit card which we can call for your card details at the time of the booking.

Paying the final balance

The balance of your invoice is due to be paid 8 weeks prior to the start of your holiday. Where a booking is made within 8 weeks of departure, the total holiday cost becomes due immediately.

Cancellation of your Cycling Tour booking by you

If you wish to cancel your holiday we require written notification via recorded delivery to;-

Our cancellation charges are as follows:
More than 56 days before departure: deposit only.
55-28 days before departure: 50% or deposit if greater.
27-14 days before departure: 75%.
Less than 14 days before departure: 100%.

Cancellation by us

Every effort will be made to operate all holidays as advertised but the Company reserves the right, at its discretion, to modify or cancel any holiday at any time up to four weeks before departure. In the case of any material modification or of cancellation, the Company will, if possible, offer alternative arrangements or, if these are not acceptable, a full refund of the monies paid. This does not include refunds for flights or other expenses separate from the holiday package.

Minimum Participants per package

Pyrénées Multisport reserves the right to cancel a camp or holiday at any time. In this event, a full refund will be issued. If a camp or holiday must be canceled due to low bookings (less than 5), we will make every effort to do so at least 4 weeks prior to your departure date. A camp or holiday will not be canceled due to low bookings within 21 days of your departure (in the instance of other client’s cancellations).

Alterations to itinerary

Occasions arise when we cannot follow our advertised itineraries and/or cannot maintain our advertised schedules. Our itineraries and schedules are put forward as a statement of intention only, not as representatives or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruption of planned itineraries beyond our control, e.g. war, riots, strikes, Acts of God, etc, such expenses will be borne by the client.

Holiday price and surcharges

We guarantee that the price of your holiday will not be subject to alteration or surcharges once a booking has been confirmed. All prices are fixed in Euros €.

Holiday Insurance

We strongly advise all customers to protect themselves by taking out a fully comprehensive travel insurance. Under the terms of this booking you are required to have suitable travel insurance giving cover that must include the costs of medical treatment and repatriation in the event of a serious accident or illness, and replacement value of rental bikes in the event of it being stolen or damaged while in your care which is the rental period.

EHIC Card – European Health Insurance Card

Your local Post Office will supply you with a form which should be completed and handed back to receive this new credit card size insurance card. Or apply directly online – http://www.ehic-card.com/ . All European guests should bring this card with them to France. Remember, the cost of medical treatment in France is at the time of treatment but with the card it makes claiming back directly with your holiday insurance company allot easier.

Passports and Visas

As a visitor to France you are required to hold a current passport. Should you be travelling from outside the EU countries, you should check whether you may also require a visa.

Complaints

Should you have a complaint while on holiday, you should notify the guide or owner of Pyrénées Multisport at the time, to enable it to be put right immediately. If the matter is not resolved, the complaint should be made in writing within 28 days and addressed to our office.

Tour Participant

Pyrenees Mutlisport reserve the right to decline to accept or retain any participant as a member of any cycling tour if his or her conduct is disruptive and affecting the enjoyment of other participants or if Pyrenees Multisport deems the participant is acting unsafely and Pyrenees Multisport shall be under no liability for any extra cost incurred by such a participant as a result of their doing so.
